The projector bulb can be really expensive, and they are only good for a
limited number of hours. The bulb for our 5 year old projector is over
$400!! So you really need to figure in that every time it's used, it is
wearing out by a measurable amount. And who is supposed to pay for the
bulb? Will the rentals cover it? With the new projectors being better and
cheaper than the old ones, will a dead bulb mean the end of that
projector? It's not fair to expect the person unlucky enough to have the
bulb burn out during their presentation to buy a new one... Nor is it
fair for the user group that bought the projector to not get the full use
and value of their purchase.
And what of the little parts that get lost & not noticed over several
borrowers? Who is supposed to replace that stuff? What is fair?
I've been so afraid that the $430 bulb was going to die during our MUG
meeting, or just being transported to/from the meeting that I didn't want
to use it anywhere else, or let it bounce around anymore than necessary
at all.
If it's going to be rented out, then the income needs to offset all
possible costs, damages, lost parts, wear & tear, and bulbs. $5 or $10
just isn't much help in that regard. Personally I don't see a whole lot
of difference between a business use & a personal use; they both wear out
the projector the same, and they are both to the benefit of the borrower.
If you buy insurance to cover losses, will the rentals cover the
insurance? Will the insurance cover bulbs? I doubt it.
You are right to try & figure out what is fair and make a policy before
there is a problem. Whatever you decide, make sure it's fair to all
involved as well as reasonable. How much do the local camera stores rent
similar equipment for? Or would you rather just limit it's use to
whatever directly benefits the user group as a whole.
