Sorry, Bob. - This email was lost in the shuffle of six email accounts. I apologize I took so long to reply.
We originally became a not-for-profit corporation to protect the leaders of the group. We also purchased a liability policy to C. Y. A. should someone sue the club. We were financially flush and thought it was a good idea.
Times change. The IRS looks at a group if you have income over 25K. We don't anymore so incorporation isn't such a big issue any more.
As for soliciting free stuff, that's easy. Just ask. Many companies have a UG program and will be happy to send product for review and promotion. Even if they don't, they will often help you if you'll promote them. This way its just a cost of doing business.
We've used the vendor/exhibitor list from Macworld Expo and send a 'boilerplate' intro letter telling them who we are, and what we're about, AND WHAT WE WANT. The letter gives a link to Apple's UG locator page so they know we are a recognized group, as well as our home page. We also use real contact information, not just our group address.
Here's the big sentence we us ... "Although we operate as a not-for-profit organization, donations or contributions to (the club) are not deductible as charitable contributions under Internal Revenue Code." This keeps everything Kosher.
