Confession time: I just thought I would share my first Zoom meeting mishaps for
the Central Wisconsin Apple User Group CWAUG…LOL
Like many MUGs I send out an email to those on my email list notifications
about the upcoming meeting. This email is created in Mail Designer 365 by Tower
One software an Equinox company https://www.maildesigner365.com
<https://www.maildesigner365.com/>. The email I create in Mail Designer 365 can
be shared with MailChimp https://mailchimp.com <https://mailchimp.com/> the
service I use for our email distribution list.
The template I have created in Mail Designer 365 is compatible with computer
email, tablet email and phone email. In other words it adapts in size to the
device it is being viewed on. One of the biggest complaints I had from some of
my iPad and iPhone users in the past was that the email was too big before I
was using this.
In a way I have to treat the Mail Designer 365 like an html editor. There are
setting I have to adjust in each email as well as settings and adjustments I
have to make to each size email that is going to be sent out. Sometimes images
don’t transfer correctly between sizes or text doesn’t get replaced. In effect
while there is one email going out, I’m actually making three separate email
forms depending on the size of the viewing platform (computer, tablet / phone
and finally watch).
When I paste a link into Mail Designer 365 so that everyone can see the full
link, the program defaults and creates a hyperlink. However the program
hyperlink is to a default unless I change it. In the case of the first zoom
meeting, I forgot to go into the hyperlink editor and change the link to what I
had pasted. Instead it defaulted to example.org <http://example.org/>. That was
my first mistake. Many of my older members didn’t think to copy and past the
link to get it to work when it went to example.org
My second mistake was forgetting to tell the CWAUG members who were receiving
the email to download the Zoom app for their computer, iPad or iPhone. Like
many MUGs I have a lot of older members that need the extra help to find these
things.
Mistake #3 like any person presenting, it is a great idea to try everything out
ahead of time so you can work the kinks out. I failed to do this. At our
meeting location, we have an admin side for the internet, and a guest side for
the internet. We host our meetings in the conference room at the local airport
as they typically have great internet. I happen to have access to both the
admin and guest side of the internet at the conference room. What I didn’t
realize until after the meeting was that the internet and all the devices
connected to it certainly will affect the quality of the ability to zoom. On
the admin side of the internet, there are multiple computers, printers,
security cameras all fighting for the bandwidth. On the guest side, there
wasn’t that issue. Had I switched to the guest network I may have saved myself
a lot of headache. My audio and video was glitchy to those that were watching
me. While the person who was on the guest network had great video and audio.
Mistake #4 was not practicing with my presentation in zoom prior to the
meeting. I typically make a keynote every meeting and in that keynote I have
links, videos, images and information. The zoom program kept crashing when I
tried to share my screen.
So long story short: Practice first and find someone to practice a meeting
first to save yourself the headaches I had…LOL
Yes I will be using Zoom again.
