In response to the mention of auctions as a better way to go than a swap meet:
We have been devoting one entire meeting each year to an auction that raises
a small amount for our treasury (10% donations). The auction process has
become refined and works very smoothly now.
We have 3-part "auction cards" that are serially numbered (created in
FileMaker Pro). One part is a stub that is torn off and kept by the seller. The other
two parts are filled in with the seller's info (item description, name,
phone, minimum bid desired) and then taped to the item.
After the auction on an item, the two parts are filled in with the buyers
info (final bid, name, phone) and the buyer tears off one part; the item then
goes to the treasurer with the last part still taped to it where the info is
entered into a spreadsheet.
When all items have been auctioned, buyers and sellers go to the treasurer to
pay up & pick up item(s) or receive payment. Only then is/are the item(s)
released to the buyer. It helps to have volunteers who take the auctioned items
back & forth, getting the auction cards filled out, etc, rather than having a
whole lot of people milling around.

card generation file (FileMaker Pro 4) to anyone who emails me off list.
