Boy oh boy...I really wouldn't do it. Ideally this should be pre-decided by
the governing board or officers, so that no one person is never put in the
position of saying no to another individual.
For one thing there's a question of insurance. Is there any? And if so,
would it cover the item if it were damaged upon being loaned?
For another thing, if it WAS damaged but insured, no amount of coverage
would remove that sick feeling in your stomach! (And of course you'd have to
answer to the club.) You'd wish you'd never done it. Also, insurance
usually carries a deductible, and the financial liability for the
deductible, no matter how legal or appropriate or even if an agreement had
been signed, would actually only be as good as the solvency of the member
who borrowed it, or his business (which apparently is not capable of buying
its own).
Also, these things are rentable in many cities. If the person's business
can't afford to rent one, it suggests a shoestring solvency that (as I said
above) might call into question his ability to stand behind damages.
Lastly, theft is an issue. If you increase the number of people that handle
an item and thus the number of places it could be left unguarded, even if
only for a few moments --and especially in hotel meeting rooms, business
conference rooms, etc.-- statistically you increase the odds of theft. This
happens every day.
