While I've only been the "official" Editor of the ACD AppleGram since
May of this year I think I can give you a head's up on where we are and
how we handle the distribution of news and information.
Being a smaller User Group with numbers averaging 80-100 members with
about
25-40% actively attending meetings we are concerned about operation
costs.
I think we all are...we're currently at about your size - but we have
at one time been about 4 times larger.
My questions for the list are:
1. How many of you are producing PDF's of your newsletter?
We used to produce a PDF AppleGram (Sept 1996 through Feb 2001) and are
re-investigating it again for limited editions.
2. Do you still mail hard copies of the newsletter for exchange
(Quantity?)
We will produce a hard copy only for paying members who request them.
3. How many user groups prefer to continue receive paper mailings for
exchange vs PDF only.
Not us... (and) the problem(s) with PDF exchange is many email
providers screen email and have very low limits on how big an
attachment can be - especially to "bulk" mailings like that which
happens when contacting MUG memberships and then if I would like to
(with permission of course) reproduce an article from a newsletter I
would then have to (a) re-request for digital format [extra
time/effort) or (b) retype it myself which could lead to errors (as
well as the time/effort issues).
5. What are acceptable ways to wean and trim the exchange list to the
PDF
method?

We ( Apple Corps of Dallas - 25 years as of Jan 2003) use a web-based
newsletter (html) today. And we have successfully (and will continue to
do so) continued to keep all of the files published in their original
location (for linking purposes) at our web address of
http://www.acd.org/ [to reach the newsletters click on the "AppleGram"
link)
[We separate Webmaster and Editor duties so no one gets burnt out too
quickly.]
Our site is very popular among other MUGs for our quality reporting,
professional level tutorials, and clean look and feel. And we invite
other MUGs to link directly to our content as they feel the need, all
we ask is that if you DO link to us - drop us a line to let us know
what content you've linked to - and that it is presented in it's
entirety (credit is given to the author and pictures used etc). Many of
out tutorials are separated into "for broadband" and "for dial-up" for
members with either type of internet connection. For non-internet
connectors (needing hard copy) just drop me a line and I'll send you
the "how and why"....
PDF is being reinvestigated because of new technology that allows
intelligent compression of PDF files. In one test here - I took a
"print version" of a newsletter created in 1997 (300k) and compressed
it to less than 30k with no sign of damage to the file on screen or in
print. This is not to say that all PDF documents will come out this
small - but it does show great promise for the once maligned technology
again.
