Our newsletter Editor produces two versions of PDF, one optimized for
download/screen viewing and another optimized for printing. His monthly
job is done when he emails posts both copies to our membership

No, I think when we made the move to encouraging as many members as
possible to obtain their newsletter electronically, we offered the same
thing to anyone with whom we had been exchanging newsletters.
3. How many user groups prefer to continue receive paper mailings for
exchange vs PDF only.
Certainly a paper copy is nice, but we appreciate that other groups may
want to use PDF for the same cost-cutting reasons we did, so it is not
a problem to rely on PDF only.
4. If PDF version for exchange is ok, how is it delivered (link to
download
or e-mail of actual PDF)
Our web admin posts our PDF newsletter on our club's web site, then I
send a monthly email to all members & friends of the club in which we
provide the URL and instructions for downloading the latest issue. That
email also contains other news such as details about next meeting.
Meanwhile, our membership coordinator has a short list of members who
want paper and he arranges to have printed copies mailed to that short
list.
5. What are acceptable ways to wean and trim the exchange list to the
PDF
method?
We simply incorporated anyone with whom we were exchanging newsletters
into the same announcement which we had sent to our members, explaining
the financial imperatives that had led us to decide to distribute
primarily electronically rather than in printed format. We do allow our
members, and I suppose exchange list participants could do so too, to
specifically request a printed version. Some of our members do not have
ready access to Internet, or have other reasons to request a printed
copy. They know that they will get only black and white instead of
colour, and in some cases we have to shorten the size of the printed
copy to get the weight down to a certain postage level, but they are OK
with that.
One thing we did notice when we went to an electronic "pull" system vs.
a paper mailed "push" system is that our meeting attendance dropped
slightly. We think this is because each month a number of members
simply fail to read their email soon enough and miss the emailed
message that contains the link to the newsletter and the meeting
notice. Many members gave us their email addresses but we are finding
quite a few who do not have a computer in their home and need to visit
the library or a community center to get their email, all of which can
lead to delays. So we are now actively counseling such people to go
back to a mailed paper copy of the newsletter if our electronic process
is not keeping them up to date.
