I am a relative newbie to this list, and actually working backwards. When I
was Vice President of the Michigan Apple User Group for the last year and
1/2, I didn9t subscribe, but when a stepped down to assume the position of
Director of Vendor Relations this past April, I subscribed and have found
most the info enlightening and informative.
My question today is about the User Groups who exchange newsletters by mail.
Being a smaller User Group with numbers averaging 80-100 members with about
25-40% actively attending meetings we are concerned about operation costs.
One time honored practice among User Groups is exchanging newsletters,
usually by mail. I am currently updating our old exchange list by monitoring
Newsletters we receive against our list. At .37" a mailing it may not seem
like much but our exchange list is at about 25 to 30 ($11.11 per month x
12=$133.20) which is about 3 or 5 members dues just to exchange information
with other groups by mail.
Now I am not knocking exchange of information, because when times were lean
under the old administration of the group, our newsletter had many a
re-print from other groups publications. Many times it was more reprinted
info than original content from within our ranks.
With OS X9s new Print to PDF function, Adobe Acrobat (full version) being
available to most user groups at a discounted rate of $99, and the wide
acceptance of PDF9s by software companies in providing manuals in PDF form,
I9m wondering if exchanging paper publications by mail is worth the added
costs? If a article is borrowed for re-print, Acrobat reader and OS X9s
preview allows for copy & paste of text so re-typing of info is a thing of
the past.
We recently polled members and most prefer to keep paper copies of the
newsletter available but many are actually reading the advance PDF posted on
our website which is released before the meetings and the paper copies are
mailed out.
My questions for the list are:
1. How many of you are producing PDF9s of your newsletter?
2. Do you still mail hard copies of the newsletter for exchange (Quantity?)
3. How many user groups prefer to continue receive paper mailings for
exchange vs PDF only.
4. If PDF version for exchange is ok, how is it delivered (link to download
or e-mail of actual PDF)
5. What are acceptable ways to wean and trim the exchange list to the PDF
method?
I really enjoy receiving the paper copies of other newsletters because I
like to compare quality and content to ours since I take a small role in
producing it but I am concerned about rising operating costs and declining
membership as most smaller groups are.
